The Communications Admin Specialist will play a critical role in supporting the Chief Communications Officer (CCO) and the Communications team. The Communications Admin Specialist will handle various administrative tasks, assist in internal communications, and provide organizational support to ensure smooth and effective team operations.

Administrative Support: 

  • Manage the CCO’s calendar; including scheduling meetings, appointments, and travel arrangements.
  • Handle confidential information with discretion and maintain organized records.
  • Assist in preparing meeting agendas, presentations, and other documents.
  • Coordinate communications team activities; including meetings, events, and projects.
  • Handle special projects and initiatives as directed by the CCO, adapting to new tasks and priorities as needed.
  • Serve as a liaison between the CCO and other executives, staff, and external partners.

Project Management:

  • Monitor the progress on communication strategies and initiatives, providing updates to the CCO.
  • Support the maintenance of media lists and monitoring of media coverage.
  • Perform other duties as assigned by the CCO to ensure the smooth operation of the communications department.

Team Support:

  • Provide administrative support to the communications team; including tracking deadlines, organizing files, and coordinating projects.
  • Assist with the development and distribution of internal and external communications.
  • Manage office supplies, equipment, and other resources for the team.
  • Assist in the drafting and editing of press releases, articles, and other public communications.
  • Support the team in planning and executing events, campaigns, and other initiatives.
  • Manage logistics and details for events, such as press conferences, media briefings, and community outreach programs.
  • Prepare and review correspondence, reports, and presentations on behalf of the CCO.

Education and Experience:

  • Bachelor’s degree in Communications, Business Administration, or a related field preferred.
  • Proven experience in an administrative role, preferably within a communications or marketing department.

Skills and Competencies:

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and familiarity with newsletter software or platforms.

Other Requirements:

  • Ability to work independently and as part of a team, with a proactive and problem-solving approach.
  • Willingness to travel and work flexible hours as needed. 
  • Ability to manage multiple tasks.
  • Commitment to supporting the communications team's overall goals.
  • Ability to lift and move marketing materials and equipment is required.
