Administrative Assistant
We are seeking a friendly, professional, and motivated individual to join our team as an Administrative Assistant. What You’ll Do:
- Office Operations
- Greet clients and visitors with a warm and welcoming demeanor
- Answer and direct phone calls in a polite and professional manner
- Manage the front desk and office by keeping it organized, stocked, and clean
- Provide general information about the company and its services to visitors
- Manage building access by issuing and tracking access cards, ensuring compliance with security protocols
- Monitor building activity to ensure a safe and secure environment, promptly addressing any access-related issues or concerns
- Coordinate with other departments to ensure smooth daily operations
- Serve as the primary point of contact for building maintenance vendors and repair personnel.
- Administrative Support
- Administrative tasks, such as data entry, scheduling appointments, and coordinating company events and communications
- Handle incoming and outgoing mail and deliveries
- Prepare meeting and training rooms, organize catering for events, and make travel arrangements for remote employees, recruitment candidates and travelers
- Order flowers for celebratory or condolence occasions and package and distribute gifts for employee tenure recognition
- Maintain Electronic Medical Record (EMR) information, conduct audits, and provide guidance on hospital-specific policies
- Participate in HR and Learning & Development projects, gaining valuable hands-on experience
Qualifications:
- High school diploma or equivalent
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Microsoft Teams and OneNote)
- Experience in designing in Canva is preferred
- Interest in HR and Learning & Development with a desire to learn and grow in these areas
- Previous experience in a customer service or administrative role is a preferred, but not required
- Proficient with EMR systems (Epic, Cerner, Meditech) is helpful
- Comfortable using various technology tools to enhance efficiency and collaboration in daily tasks
