Position Summary: The Compensation and Benefits Administrator, develops, oversees, and administers employer compensation and benefits programs, ensuring they are competitive, equitable, and aligned with organizational goals. This role is responsible for communicating pay structures, evaluating job classifications, and managing compensation budgets. Additionally, the position facilitates benefits administration, providing employees with clear and accurate information on eligibility and coverage. Collaborating closely with leadership, the administrator designs and implements compensation and benefits strategies that comply with all relevant regulations while supporting employee engagement and retention.

Position requirements

Education: Bachelor's degree in human resources management, Business, or a related field - required.

Licensure: N/A

Certification: Professional certification (e.g., CEBS, PHR, SHRM-CP) preferred.

Experience: 3+ years of experience in human resources, with proven knowledge of compensation development and benefits administration required; 5+ years preferred. Experience in healthcare is preferred.

  • Knowledge of federal and state wage and salary laws and regulations; survey methodology.
  • Excellent communication, presentation, and interpersonal skills, with the ability to engage and influence multidisciplinary teams.
  • Strong analytical and problem-solving skills with the ability to communicate effectively with team members.
  • Able to conduct research, analyze information and data and present findings in a concise format.
  • Knowledge of pertinent federal and state regulations, filing and compliance requirements, affecting employee benefits programs, such as the ACA, ERISA, COBRA, FMLA, ADA, Section 125, and Social Security and DOL requirements.
  • Ability to eloquently and accurately explain our total rewards program.

Essential Job Functions

Customer Service:

  • Champion a service mindset, with a commitment to address the needs of our customers through effective communication, support, and proactive problem solving.
  • Actively seek feedback to continuously improve HR services.

Benefits Administration:

  • Manage the administration of employee benefits programs, including health, dental, vision, FSA, HSA, life insurance, disability, retirement plans, and wellness initiatives.
  • Continually research and evaluate employee benefits plans and vendors to identify those that present the best value.
  • Design, recommend, and implement new benefit programs, examine possible plan designs, and benefit cost changes.
  • Coordinate the annual benefits open enrollment process, including the preparation of materials, communication, education sessions, and assisting employees.
  • Audit employee payroll deductions and collaborate with payroll on adjustments and process improvement efforts.
  • Tracks and identifies ACA eligibility; process ACA 1094 and 1095 forms.

Employee Communication and Education:

  • Serve as the primary point of contact for employees regarding benefits inquiries, resolving issues, and providing detailed information on benefit plans.
  • Develop and deliver communication materials to educate employees about compensation and benefits programs.
  • Conduct informational sessions and workshops to explain benefits options and changes.
  • Provide one-on-one support to employees regarding their compensation and benefits.

Data Management & Reporting:

  • Maintain accurate and up-to-date employee benefits records, process benefit enrollments, changes, and terminations in the HRIS system.
  • Prepare and analyze regular reports on benefit plan participation, costs, and trends.
  • Monitor, evaluate, and provide insights and recommendations for plan improvements.

Compliance:

  • Ensure all benefits programs comply with federal, state, and local regulations.
  • Maintain current knowledge of regulations and implement necessary changes.
  • Prepare and file required reports and documentation, including EEO-1, 5500, and other regulatory filings.
  • Ensure compliance with all benefits-related regulations, including ERISA, HIPAA, and ACA.

Vendor Management:

  • Manage relationships with benefit plan providers, brokers, and consultants to manage relationships, and resolve service issues.
  • Coordinate contract negotiation process and ensure vendor performance meets organizational standards.
  • Monitor invoices and coordinate with accounting to audit and reconcile.

Wellness Programs:

  • Promote and support wellness initiatives to enhance employee health and wellbeing.

Compensation Analysis:

  • Evaluate and maintain salary equity during the hiring and fiscal year review processes.
  • Gather and compile market data on compensation, benefits, and performance management practices for all positions, utilizing market data and salary survey information from national, regional, and local sources.
  • Evaluate project performance and ensure the project delivers the expected outcomes.
  • Create presentation-ready compensation reports for review and final approval using Excel, PowerPoint, and other reporting software applications as needed.

Compensation Administration:

  • Develop and maintain compensation structures, including salary ranges and job classifications.
  • Conduct routine market research and salary surveys to ensure competitive compensation practices.
  • Prepare and process salary adjustments, promotions, and bonuses.
  • Collaborate with HR and leadership to design and implement incentive programs.
  • Partner with HR and leadership to develop a comprehensive total rewards system, starting with time to offer, including annual reward statements and education on the total rewards program, balanced throughout the year.

Additional Responsibilities:

  • Develop and document procedures to streamline processes and ensure compliance with regulatory requirements.
  • Works with leadership to align job descriptions with appropriate compensation and structure.
  • Some travel between service locations may be required.
  • Other duties as assigned.

Physical requirements: This position is classified as Sedentary Work in the Dictionary of Occupational Titles, requiring the exertion of up to 10 pounds of force occasionally) up to (33% of the time) and/or a negligible amount of force frequently (33%-66% of the time) to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
